Legal & Governance Overview
At ProvenTen, we build trust through transparency, clear operational standards, and strong data protection practices. This overview outlines how our legal agreements, terms, and compliance policies are structured across our platform tiers.
Customer's and its Authorized Users' access to and use of the Services is subject to and conditioned upon compliance with our Acceptable Use Policy (AUP) & AI Guidelines.
1. Standard Platform Terms (Self-Serve)
For customers subscribing via self-service or standard online tiers, our Platform Terms of Service and Acceptable Use Policy (AUP) & AI Guidelines govern access to the software.
- Where to review: The complete Terms of Service are presented during the account registration process and remain accessible at all times within the platform settings upon sign-in.
- Agreement: By creating an account or subscribing to a self-serve plan, users review and accept these terms directly within the platform.
2. Enterprise & Custom Agreements
For organizations with specialized procurement, security, or custom commercial needs, ProvenTen operates on an Order Form + Master Terms model.
- Order Forms: Custom agreements, billing schedules, user seat allocations, and tailored commercial terms are executed via a formal Order Form.
- Precedence & Custom Terms: Any negotiated special conditions specified in an executed Order Form directly override standard platform terms.
- Procurement Inquiries: If your legal or procurement team requires custom terms, a tailored Master Services Agreement (MSA), or specialized SLAs, please contact our team at sales@proventen.com.
3. Data Protection, Privacy & Security
We are committed to processing customer data responsibly and securely:
- Privacy Policy: Read our public Privacy Policy to learn how we handle personal data, cookies, and privacy rights across our website and platform.
- Data Processing Agreement (DPA): Standard DPAs containing EU/UK Standard Contractual Clauses (SCCs) are available for enterprise customers upon request or integrated within platform workspace settings. See our Data Processing Agreement (DPA) page for details.
- Security & Compliance: We maintain strict technical and organizational safeguards to protect customer data. Review our Security Policy and Service Level Commitment & Availability (SLA). Standard compliance documentation (e.g., security whitepapers or audit artifacts) is available to enterprise accounts under NDA.
4. Policy Updates
We periodically update our platform policies to reflect platform updates, security developments, and changing legal requirements. Material updates to platform terms are communicated to primary account holders via email or in-app notifications in advance of taking effect.
5. Pricing, VAT, and Price Changes
The public price list on our Pricing page is in euro (EUR) and excluding VAT. Applicable VAT is added on the invoice according to EU VAT rules.
- Effective date: The current published list is effective from September 6, 2026.
- Price changes: We notify existing customers at least 90 days in advance of any price adjustment (email or in-app), and we update the Pricing page at the same time. Annual price increases for existing customers will not exceed 5% within a single calendar year. Price adjustments take effect at the earliest at the start of the next billing cycle following the required notice period — never during an active term.
- Order Forms: Prices on an executed Order Form follow that Order Form. A public list-price update does not change a negotiated price during the Order Form term unless the Order Form says otherwise.
